QuickBooks Customer and Item Mappings

Map trading partners to QuickBooks customers and resolve item mismatches before pushes fail.

Why Mappings Are Required

QuickBooks does not know which EDI trading partner a retailer relationship represents in RetailReady. Before RetailReady can push an order or invoice to QuickBooks, it must know which QuickBooks customer should receive that record.

Map Trading Partners to QuickBooks Customers

  1. Go to Integrations.
  2. Open the QuickBooks integration.
  3. Click Mappings.
  4. For each trading partner, choose the QuickBooks customer that should receive that partner's orders and invoices.
  5. Wait for the row to show that it is mapped.

You choose one QuickBooks customer per trading partner. The same QuickBooks customer can be reused for multiple trading partners if that is how your books are organized.

How Imported Products Are Linked

When QuickBooks products are imported, RetailReady creates or updates matching RetailReady products. If a trading partner is already mapped to a QuickBooks customer on the same connection, RetailReady links those imported products to that trading partner automatically. That keeps you from having to add the retailer relationship to every imported product one at a time.

Item Aliases and Mismatches

Sometimes an invoice line references a product by UPC, vendor SKU, item name, or another identifier that does not match a QuickBooks item cleanly. When that happens, RetailReady creates an item alias issue instead of guessing.

Use the Item aliases section on the mapping page to review unresolved product references. Once you map an alias to the correct product or item, the next push can use that relationship automatically.

What Counts as a Broken Mapping

  • A trading partner has no QuickBooks customer selected.
  • An invoice or order line cannot be resolved to a known product/item.
  • An item alias was created but has not been accepted or mapped yet.

After You Fix a Mapping

When you save a missing customer mapping, RetailReady requeues failed invoice pushes for that trading partner. You can also use Sync now to retry pull and push work after fixing product or customer mappings.
